Privacy Policy

PoolCleanBiz ("we", "us") is software for pool-service companies, operated by KJR Digital Marketing. This policy explains what we collect, why, and who we share it with. Questions: hello@poolcleanbiz.com.
Two different roles
This matters for understanding the rest of this page, so we state it plainly:
- For your own account information — your name, email, company, billing — we are the controller. This policy governs it.
- For information you enter about your customers — their names, addresses, pools, service history, photos — you are the controller and we are the processor. It is your data. We handle it on your instructions, we do not use it for our own purposes, and we never sell it or share it with other PoolCleanBiz accounts. Your own privacy obligations to your customers remain yours.
What we collect
If you join the early-access list
Your email address, and optionally your company name and roughly how many pools you service. We record where the signup came from so we know which pages work. We use it to tell you when PoolCleanBiz opens and nothing else — no newsletter, and we do not share or sell it.
If you open an account
Your name, email, company name, and time zone. Passwords are stored only as a
salted scrypt hash — we cannot read them. Session tokens are stored
hashed.
What you put into the product
Your customers and their contact details, properties, pools and equipment, service plans and prices, visits, water-chemistry readings, chemicals used, invoices and payment records, and before/after photos.
Payment details
We never see or store card numbers. Card data goes directly to Stripe. Payments run on your own Stripe account under Stripe Connect — your customers pay you, the funds settle to you, and PoolCleanBiz never receives, holds, or has custody of them. We take a platform fee on processed payments, collected by Stripe.
Photos have their location data removed
Service photos routinely contain GPS coordinates in their EXIF metadata — a customer's home address, embedded in the file. We strip that metadata on upload, before the photo is stored, for every image format we accept. An image we cannot fully parse is refused rather than stored, and we stamp our own server-side timestamp instead of trusting the device's.
Who we share information with
We do not sell personal information. We use these processors:
- Cloudflare — website hosting and the early-access list database.
- Stripe — payment processing and Connect account onboarding.
- Resend — transactional email (service reports, receipts, reminders).
- Hetzner — application database hosting.
We may also disclose information if legally required, or to protect our rights or someone's safety. If the business is ever sold, this policy travels with the data.
Email we send
We send transactional messages only — service reports to your customers, arrival notices, invoices, and payment reminders. We do not run marketing blasts, and we do not send SMS. Payment reminders are rate-limited and restricted to reasonable hours. Your customers can be opted out of arrival notices individually.
How long we keep it
Account and service records are kept while your account is open and for up to 12 months afterwards, except where tax or accounting law requires longer for financial records. Early-access list entries are deleted once you ask, or when the list is retired.
Your choices
Email hello@poolcleanbiz.com to access, correct, export, or delete your information, or to be removed from the early-access list. If you are asking on behalf of one of your own customers, tell us — you are the controller of that record and we will act on your instruction. Depending on where you live you may have additional rights under laws such as the CCPA or GDPR; we honour those requests regardless of where you are.
Security
Accounts are isolated from one another at the database level — enforced by the database itself, not only by application code, and verified by automated tests that attempt cross-account access on every build. Traffic is encrypted in transit. No system is perfectly secure, but we would rather tell you what we actually do than make a broad promise.
Children
PoolCleanBiz is a business tool and is not directed to anyone under 18.
Changes
If we change this policy materially we will update the date above and, for account holders, email you before it takes effect.
